ION: Records Manager LOCATION: Midtown Manhattan ORGANIZATION: International Law Firm COMPENSATION: To $130K base (with full benefits, bonus(es), 401K, plus many more perks!) ESSENTIAL JOB FUNCTIONS: Advisory •Serves as the main point of contact with, and ensures exceptional customer service to, Firm personnel and departments in the New York office requiring records management assistance and/or guidance. •Assists management in the identification and containment of risk associated with records management. •Confers with other Risk Management staff and with IT on issues relating to the intake, maintenance and disposition of electronic records. •Conducts desk-side assistance to partners and other firm personnel seeking help with the management of their email, DMS, network drive, and SharePoint records. •Advises Records Management Attorneys and/or their secretaries on all aspects of the KERI approval process and disposition, e.g. destroy, return-to-client, retain processes. •Analyzes, documents, proposes solutions, and involves management, if needed, when complex records issues arise. •Works collaboratively with Risk Management Systems group to streamline records management data to improve efficiency and effectiveness of Record’s Operations. •Provides input to the Records Compliance Manager and the Records Operations Manager, assists with audits, and assesses compliance with the Firm’s records management policies and related procedures. Operational •Liaises with the firm’s offsite storage and shred vendor(s) on services and assesses vendor’s service levels in relation to the Firm’s business and legal requirements. •Ensures Records staff work effectively and efficiently to accomplish daily records tasks and local or Firm projects. •Assists with the review, approval and copy process for electronic file transfers regardless of originating office. •Assesses daily demands, develops work plans, and assigns tasks and special projects to Records staff. Provides oversight and direction as needed to ensure that work performed meets quality and service standards. •Ensures timely disposition of records approved by Records Management Attorneys for destroy/delete and return-to-client. •Available to provide guidance and assistance to all Kirkland offices and senior management on daily work, special projects, compliance issues, and policy or procedure changes. Training/Communication •Provides basic LegalKEY and Records Management policy user training and mentoring for end users. •Provides in-depth training and mentoring to Records staff regarding Firm policies, procedures and working practices. •Advises users on best practices and policies and applies Records Management principles to a variety of situations. •Mentor Records staff on individual and team professional development opportunities including advancements in, and changes to, the legal Records Management profession. •Communicates ideas for improvements and lessons learned with peers and management. Compliance •Assists with attorney and staff departures. Ensures that departure processing is conducted in compliance with the departing personnel procedure. Works collaboratively with Human Resources and Attorney Recruiting on departing personnel issues. •Audits records processes, work product, staff-managed file areas and Firm Approved Records Repositories (FARR) for accuracy and compliance with Firm policies. •Advises personnel on the Firm’s records destruction and file transfer standards and procedures. •Ensures file intake of lateral hire files is conducted in compliance with Firm policy, or escalates to the appropriate individuals for review and resolution. •Ensures new records sent to off-site storage comply with the Firm’s retention policy •Keeps Records and office personnel current with updates to and/or new risk management-related initiatives. QUALIFICATIONS: •Ensures successful implementation of the Firm’s records management policies and procedures in the New York office. •Responsible for the planning and execution of all records management activities for the office and manages the performance of the Records team responsible for serving the daily records management needs of the office’s attorneys, legal assistants, and administrative staff. •Working in partnership with firmwide management, help develop and implement local and firmwide Records Management initiatives and works closely with other departments involved in records initiatives to ensure program success. REQUIREMENTS: •Bachelor’s Degree •5 plus years Records Management experience in a law firm or corporate records environment. •Proficiency in LegalKEY or a comparable records management software application is required. •This person must be proficient in MS Office applications, Adobe Acrobat, and document management systems. Proficiency in MS Project and Visio preferred. •Excellent organizational skills and advanced knowledge of records management principles are essential. •The individual must be able to respond to requests and answer questions relating to the Firm’s records Management policy and procedures, •Must be capable of delivering effective oral presentations on all aspects of records management.
