FULL TIME OFFICE MANAGER - NYC

RY STATEMENT: The goal of this role is to manage and coordinate all day to day activities in the office as well as plan for future activities. The Office Manager is expected to be the point of contact for all office-based communications and client logistics. RELATIONSHIPS: Reports to: VP, North American Operations External contacts: Customers and Vendors Other internal contacts: Office Managers – lateral (Toronto, Canada and Irvine and London, UK) RESPONSIBILITIES/DUTIES: 1. Ensure office is run in a smooth and efficient manner 2. Coordinate with building management as required 3. Ensure staff schedules are managed and documented 4. Oversee vacation schedules and approval of time off for all staff 5. Foster relationships with vendors and coordinate vendor payments 6. Coordinate the issuing of RFPs and RFQs as required 7. Ability to procure bid opportunities through searches and existing bid accounts 8. Processing all incoming invoices, securing approvals and coordinating with Accounting resources 9. Support senior management in any day to day requests they may have 10. Coordinate off-site events and conferences as needed 11. QuickBooks experience is a must   REQUIREMENTS/QUALIFICATIONS: Education: • Post-Secondary Diploma, preferably in Office Management, or equivalent combination of education and experience Experience: • Four or more years of related experience working in a similar role • Practical, hands-on knowledge of office operations is a must • Proven ability to produce communications at a professional, business level • Great inter-personal and problem-solving skills • Experience with Accounting software (Quickbooks) • Must have expert level knowledge of Microsoft applications (Word, Excel, Powerpoint) PERFORMANCE COMPETENCIES AND CRITERIA: Building Rapport Client/Customer Awareness Interpersonal Relations Integrity Listening Skills Organizing/Planning Ability Personal Work Ethic Analytical Skills Attention to Detail Computer Skills Excellent Oral and Written Communication Team Skills Technical Knowledge/Proficiency Tolerance of Stress Maintains confidentiality of information
