Intellectual Property Docketing Supervisor
ntellectual Property Law Firm seeks Docket Department Supervisor >>> Immediate Hire! Mid-size intellectual property boutique seeks supervisor with superior organization, management and communication skills. This position supervisors a staff of five (full and part-time) docketing and file room personnel to support attorneys, patent agents, specialists, paralegals, legal assistants and secretaries related to docketing and maintaining US and foreign patent and trademark files: Review and docket electronic PTO filings; Enter new case information using the appropriate criteria and relationships; Generate/distribute daily and weekly docket reminder reports to attorneys; Update database with attorney responses; Manage the review and processing of outgoing USPTO mail and electronic filings for accuracy and completeness; Manage the review and processing of all incoming IP mail daily and enter all necessary deadlines into database; Monitor and docket electronic correspondences received in the PTO patent and trademark mailbox, including docketing all relevant and pertinent deadlines; Ensure daily docket is attended and that no deadlines are missed; Monitor and update information on all U.S./foreign case records/related docket entries in database; Assist in troubleshooting US Patent and Trademark office issues; Ensure proper filing of all relevant incoming and outgoing correspondence and docket related materials; Archiving incoming and outgoing emails and attachments and ensuring files are complete and up to date at all times; Conduct periodic status checks and participate in regularly scheduled docket audits; Manage the file room ensuring timely retrieval of files and printing/filing all correspondence received from a client or foreign associate that have been sent to or copied/forwarded to docket/file room; Manage the review and reporting of filing receipts, assignments, etc. taking action as needed for any discrepancies; Review docket systems and processes and make recommendations for change and execute approved changes; Create an IP docketing best practices platform; Maintain current knowledge of IP rules and procedures, both domestic and foreign; Manage, supervise and motivate department employees and provide annual staff evaluations. Candidate must possess 7-10 years IP docketing experience. Additional IP legal assistant/paralegal experience a plus. Bachelor Degree preferred. Mastery of docketing software such as CPA or CPI and Microsoft Office are a must. Successful candidate will have the ability to recognize and independently act on important details and deadlines. Must have ability to work under pressure, respond quickly to changing demands and be self-motivated. This is a highly detail-oriented position.
