POSITION DESCRIPTION POSITION TITLE: Coding Operations Supervisor DEPARTMENT: HIM Services DIVISION: HIM Services/Contracted & Consulting Services CLASSIFICATION: Management STATUS: Exempt REPORTS TO: Executive Director, HIM Services and Privacy Officer GENERAL SUMMARY: Under the direction of the Executive Director of HIM Services (ED) and Privacy Officer the Coding Operations Supervisor is responsible for overseeing all HIM coding personnel and processes within HIM Services Department. This position requires the Coding Operations Supervisor to perform job responsibilities in a timely fashion; to personally represent the Company and uphold its standards; to adhere to all Diskriter Policies and Procedures; and to assist in setting the standards of excellence for service and support in HIM division. ESSENTIAL JOB FUNCTIONS: 1. Daily Supervision/Leadership Create schedule for clients and coders on an ongoing basis (daily, weekly, monthly) . Adjust schedule accordingly as client and coder needs change. Process time off requests for coding staff. Communicate and respond to coding staff on a regular and timely basis. Assist in any functions that are in need of assistance. Required to perform Coding and/or Auditing work when needed, based on operational needs. Works with HR to ensure performance appraisals are created and implemented and job descriptions are up to date. Integrates global processes into existing processes and new implementations when appropriate. 2. Marketing and Recruiting Collaboratively work with recruiting efforts to ensure highly skilled applicants are acquired. Active involvement in the pre-screening, interviewing, and hiring processes. Ensures coding evaluation tools are updated at least twice per year and contain relevant screening questions. Support marketing efforts by providing feedback and suggestions regarding marketing activities and materials. 3. Client Relations Ensure client meetings/communications on a regular basis are scheduled, completed and documented for both active and as needed clients. Supply requested reports/information to clients as required. Communicate any client concerns to the appropriate members of the Diskriter team. Anticipate and discuss client future needs and plan appropriately. Ensures all client specific coding guidelines are updated on a regular basis. 4. HIM Process/Consultative Approach Provides consulting services that drive consistency in best practices, methodologies and standards for implementing solutions. Works with team to ensure projects are completed on time and within the designated scope. Provides subject matter expertise. Pursues professional growth and development keeping abreast of the latest trends in the Coding and Reimbursement arenas and shares ongoing education with employees and clients. 5. Data Quality/Production Activities Routinely monitors productivity to ensure client expectations are met. Routinely monitors accuracy. Performs and/or facilitates random reviews as required. Shares feedback and findings with staff as it relates to quality, productivity and/or educational information. REQUIRED KNOWLEDGE, SKILLS, TRAINING, AND ABILITIES: Excellent written and oral communication, including English usage, grammar, punctuation, and style. Ability to use reference materials and a variety of resources. Ability to operate designated computer platforms. Ability to work independently with minimal supervision. Ability to work under pressure with time constraints. Ability to concentrate and excellent listening skills/ Knowledge of hospital/rehab revenue cycle processes and coding solutions. Knowledge of HIM department operations. Proven supervisory experience. Exercises good judgment based on experience. Excellent eye, hand and auditory coordination. Knowledge and experience with Microsoft Office products and database knowledge. Ability to work under high-pressure and prioritize multiple complex tasks. Will have the ability to work successfully with employees of all levels of experience/expertise. EDUCATION AND EXPERIENCE: Bachelor of Arts degree preferred; RHIT/RHIA preferred. Certifications (CCS, CCS-P, etc) are required. Five (5) years experience in HIM with a focus on revenue cycle, coding, medical records, work flow, and processes. Extensive ICD 9 and ICD 10 knowledge as well as reimbursement methodologies. AHIMA approved ICD-10 Trainer is required. Experience and knowledge of healthcare informatics is desirable. Experience in an acute care health information management setting is required including policy development and implementation. Work under high-pressure and prioritize multiple complex tasks while working successfully with employees of all levels. Work successfully with clients in all healthcare settings, , Goal oriented is a must and the ability to work independently and under pressure with time constraints and deadlines. Excellent written and oral communication skills, both listening and speaking Proficiency with Microsoft Office Suite PHI ACCESS: High- uses extensive PHI or on a frequent basis.
