Human Resources Coordinator / Generalist
ew: The Human Resources Administrator / Coordinator provides administrative support on the day-to-day operations of the human resources department. In this role individuals need to have experience in all aspect of Human Resources including recruitment. Responsibilities: Place and track ads written by others, recommend alternate location for ad placement for all open positions; Maintain applicant tracking system (ATS) to ensure data integrity of openings and applicant status; Maintains recruitment tracker spreadsheet and updates regularly with candidate details; Initiate background screening through the third party vendor; tracks and ensures reference checks are completed by managers; Schedules interviews and sends invitations to take IVI’s assessments; Drafts offer letters, for review by Director, Human Resources and hiring managers and tracks the return of same; Coordinate new hires first day of employment; Assembles new hire paperwork and schedule new hire orientation; Collects and process new hire paperwork; Responds to employee questions on basic HR policies; Responds to requests for employment verifications, reference for previous employees and other general requests for information from vendors, government agencies or employees; Ensure managers complete the attendance sheet daily; Audits the attendance tracking sheet against attendance software bi-weekly and quarterly produces employee and manager reports and answers employee questions regarding attendance; Coordinates the enrollment in the 401(k) plan; Maintain strict confidentiality of sensitive material at all times; Assists with the open enrollment process for Medical and FSA plans including scheduling enrollment meeting and ensuring timely submission of paperwork to carriers; Tracks, produces and distributes vacation tenure change letters and information about IVI’s Rome @ X trip; Track performance reviews; Maintains files and employee records; Processes paperwork for individuals leaving employment; Update HRIS to reflect changes in employee records; Schedule temporary staff when needed; May recruit administrative and other entry level position as required; and Special projects as assigned. Qualifications: Bachelors’ degree desired; 2 year human resources administration experience; Able to maintain confidential information; Excellent communication and data entry skills; Strong MS Office skills; and Experience with HRIS and ATS system desired.
